Position Summary

We are seeking a highly organized, motivated, and community-focused professional to serve as both Executive Assistant and Community Outreach Coordinator. This hybrid role supports executive leadership with administrative duties while actively building and maintaining relationships with community partners, referral sources, and local organizations.

The ideal candidate thrives in a fast-paced startup environment, can balance multiple responsibilities, and is passionate about making a tangible difference in the lives of those we serve.

Key Responsibilities

Executive Support

  • Manage executive calendars, appointments, and scheduling.
  • Prepare reports, presentations, compliance documents, and meeting minutes.
  • Assist with waiver documentation, audits, and other state-required filings.
  • Maintain confidential client, staff, and company records.
  • Support billing and office systems to ensure smooth operations.

Community Outreach

  • Build and maintain relationships with schools, case managers, vocational rehabilitation counselors, and referral sources.
  • Coordinate community events, informational sessions, and networking activities.
  • Represent the organization at community fairs, workshops, and local meetings.
  • Track outreach activities and provide monthly impact reports.
  • Collaborate with the Media & Communications Manager to ensure outreach events are posted on social media, newsletters, and other media platforms.

Performance Metrics

  • Accurate and timely completion of executive support tasks.
  • Successful management of outreach relationships and events.
  • Collaboration with Media Manager to ensure outreach communications are shared effectively.
  • Demonstrated growth in referral partnerships and community visibility.
  • Maintenance of confidential records and compliance documentation.

Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Human Services, Communications, or related field preferred.
  • 1–3 years of administrative experience; community engagement experience a plus.
  • Strong organizational, multitasking, and communication skills.
  • Knowledge of waiver services or human services is preferred but not required.
  • Professional, approachable, and mission-driven demeanor.

  • Location: Stafford, VA
